Staff Appreciation Platform
Most of our non-direct communication is through two channels, the first is a corporate email list and second Microsoft Teams. As a technology solution partner, we must be continuously learning and working with the latest tools available. We built a chat bot interface that allows employees to publicly acknowledge their co-workers for doing wonderful things around the office.
Each week employees are given 10 stars to distribute, to encourage use, unused stars are subtracted from any earned stars in the week and a reward is given to the employee with the most cumulative stars at the end of the month.
Consumer Workflow Application
CAMVAP realized one day that their Access database which was used to record and track consumer automobile warranty paper claims could no longer support their current business logic and needs.

Enter MERAK: We created a user-friendly application that allowed consumers to quickly create a personal account and initiate their claim online. Consumers could then view and update claim communication and status information as required.
While manufacturers and arbitrators gained the ability to view and record claim decisions, provincial administrators gained considerable flexibility when scheduling, canceling, or rescheduling hearings, and also through printing, updating, and modifying claim information. Automated and manual user communication was also built into the application.

SDS has been working with MERAK for a couple of years now, and they have consistently offered excellent service and great turnaround. Our company does everything remotely and we needed help to update our system and our aging internal app and fix various bugs. Resident Notification Platform
The City of Guelph has a mandate to modernize city services and to provide a positive citizen experience. Identifying the need to provide clearer and easier-to-access waste schedules, Open Guelph purchased a hackathon application for the city’s Solid Waste Resources department. A driving requirement in the application design was to reduce the number of citizens who placed their waste on incorrect days. During the product’s design, however, Solid Waste Resources realized that the application did not fully meet their initial requirements.
MERAK partnered with Solid Waste Resources to discuss the hackathon application’s importance, its intended purpose, and the features that were currently missing. We then created and efficiently implemented an updated list of requirements and demonstrated the new solution. Incorporating Solid Waste Resources’ feedback, we finalized the application to its current state.
The waste reminder application now allows Guelph citizens to search for their address, view and print their waste collection schedule, as well as sign up for email, text, and phone call notifications. Citizens can receive automated “waste day” reminders, special events notices, and any changes to their waste schedule. Administrative staff are also able to send and schedule push notifications.

ICAS’s existing website allowed them to receive electronic applications, but the actual evaluation of them was a manual process that relied heavily on the experience of a few long-term staff. To meet growing demand, the client needed to streamline their processes allowing them to gather and evaluate all required information from within the system.
ICAS hired MERAK to provide an assessment of their business operations with the objective of defining the requirements for a system that would solve multiple corporate goals:
As a follow up to the assessment, ICAS selected MERAK to develop a user-friendly web-based application, which we implemented in C#. We designed a document workflow that facilitated the quick identification of relevant past assessments, provided a single location to manage all documentation and generate the final assessment report. The system automatically generates reports that are made available via WebDAV to be edited directly using MS Word for individual customization. A SQL Server database retains prior assessment data, allowing precedents to be set and used to process future application. This provides reliable, consistent results and saves time. We provided documentation for deployment and maintenance of the solution, and supported training via client employees involved in development and design.
Field Service Management
The City of Guelph’s Parks and Recreation Department was looking for a user-friendly web and mobile app to assign, track, and report park maintenance tasks. The department was previously using a time-consuming manual process to coordinate and record tasks completed by park maintenance crews. MERAK sat down with city staff to understand their current challenges, as well as what they were looking for in a potential solution. After taking their feedback, within 48 hours we provided them a prototype to explore.
The completed solution was intuitive and simple: accessible from an iPad stored in a city truck, the Parks and Recreation app now shows crew members the closest park location that requires cutting. A crew can then record whether the park was cut or not (occupied or wet). Administrative staff can also assign crews to specific park locations; view reports on work conducted; and display patterns for specific parks.
As Guelph is a solid proponent of transparency with its citizens as well as open data, it was also important to build in functionality that shares data with CKAN.
Park maintenance staff have since reduced their paperwork by 45 minutes a day and citizens can now see when their parks were last cut.

Custom Public API
WellWiki provides data for over 4.3 million oil and gas wells throughout North America. Its goal is to provide to the public a comprehensive database tracking production and environmental data, news, and history on the estimated 5.8 million wells drilled in North America. Regulation for oil and gas development is managed primarily by the state or province. The challenge for WellWiki is that the well data are produced and stored individually by jurisdiction, containing their own reporting standards and data formats.
The current system was hosted on premises on University infrastructure. MERAK created a RESTful API service to allow interested parties to query and consume Well data to use for their own purposes. Our project is meant to create a starting point for the API which can eventually expand to serve the rest of the data and meet the needs of its end users. All services are hosted in Azure to make use of fast and easy API development and deployment, as well as taking advantage of the included security features to allow us to focus our time spent on solving their needs.

Personal Information Protection and Electronic Documents Act
This document presents MERAK’s Privacy and Data Protection policy which applies to all personal and operational information and/or data held on MERAK employees, subcontractors, and clients. MERAK is committed to protect the personal information of its employees and subcontractors with respect to staffing, employee management, compensation and benefits administration purposes.
MERAK may also collect personal and operational information and/or data on clients and client personnel, for example, in Information Technology and outsourcing contracts. All client personal and operational information and/or data collected by MERAK will comply with the policies and procedures established by the client and/or MERAK. As well, MERAK will always respect and act in compliance with all applicable legislation. Specifically, this policy is intended to comply with the Canadian government’s new Personal Information Protection and Electronic Documents Act (PIPEDA), effective January 1, 2004.
MERAK’s Privacy Officer oversees the application of this policy and takes corrective action on violations and non-compliance. MERAK employees and subcontractors who have concerns regarding the privacy of their own, subcontractor, or client personal information should report their concerns as well as any weakness in the measures protecting such information to their manager (for client and subcontractor personal information) or to their local Human Resources representative (for employee personal information).
All employees and subcontractors must respect this Privacy and Data Protection Policy and, in doing so, respect the privacy of other MERAK employees, subcontractors, clients, and the client’s privacy policies when working at a client site. All employees and subcontractors who hold and manage client personal and operational information and/or data, as a result of providing services to these clients, must protect such information and data.
MERAK’s Privacy officer must advise employees, subcontractors and clients why the personal information is being collected and how the information will be used. Individuals will be notified of any new purposes for the information and their consent will be obtained before using it.
The employee’s, subcontractor’s, or client’s written or electronic consent will be obtained for the collection of information, the use of information, and whenever a new use of the information is identified.
Only the information necessary will be collected for the identified purpose. MERAK does not collect personal information indiscriminately or deceive individuals about the reasons for collecting information.
MERAK will use and disclose information only for the purpose for which it was collected or when required by legislation (in the manner prescribed by the legislation in the jurisdiction where MERAK does business). Information will be retained only as long as necessary and all sensitive information will be disposed of in a secure manner.
MERAK will ensure the accuracy of the information collected by verifying with the individual and updating it periodically. MERAK employees and subcontractors must notify their local Human Resources of any changes or updates that will affect their personal records.
MERAK will protect personal and operational information and/or data according to its sensitivity and as required by any applicable legislation. Sensitive personal and operational information and/or data is to be protected from unauthorized use, disclosure, access, and modification. These safeguards apply to sensitive personal and operational information and/or data irrespective of the storage medium.
Such safeguards may take the form of locked filing cabinets or restricted access to information (physical, on a need-to-know basis, alarm systems or other electronic control devices, technological tools such as passwords, encryption, firewalls, software that renders anonymity, etc). The selection of safeguards will be done considering the sensitivity, amount, and format of the information or data needing protection.
Security measures around data protection are reviewed regularly to follow the company evolution or changes in the organization.
MERAK will provide employees, subcontractors and clients access to their own personal information held by MERAK so that they may know what information is retained. Provide the employees, subcontractors and clients an opportunity to verify the accuracy of their information and to correct any inaccuracies. Inform in writing, if access is refused, of the reasons why and the details for the appeal process.
Subject to the applicable legislation, MERAK has the right to monitor any and all aspects of its information systems and infrastructures including, but not limited to:

A simple complaint procedure is in place for employees, subcontractors, and clients. Any violation in the handling of client personal or operational information and/or data, in the context of providing services to these clients, should be reported directly to the Manager responsible for the Business Unit safeguarding such information or data.
Violations of this policy may result in a disciplinary action which will be proportional to the seriousness of the behaviour concerned. Managers responsible for Business Units or corporate functions are responsible to decide on the proper course of action in case of a breach to this policy. MERAK appoints and maintains a designated Privacy and Data Protection Officer.
