Staff Appreciation Platform
Most of our non-direct communication is through two channels, the first is a corporate email list and second Microsoft Teams. As a technology solution partner, we must be continuously learning and working with the latest tools available. We built a chatbot interface that allows employees to publicly acknowledge their co-workers for doing wonderful things around the office.
Each week employees are given 10 stars to distribute, to encourage use, unused stars are subtracted from any earned stars in the week and a reward is given to the employee with the most cumulative stars at the end of the month.
Consumer Workflow Application
CAMVAP realized one day that their Access database which was used to record and track consumer automobile warranty paper claims could no longer support their current business logic and needs.

Enter MERAK: We created a user-friendly application that allowed consumers to quickly create a personal account and initiate their claim online. Consumers could then view and update claim communication and status information as required.
While manufacturers and arbitrators gained the ability to view and record claim decisions, provincial administrators gained considerable flexibility when scheduling, canceling, or rescheduling hearings, and also through printing, updating, and modifying claim information. Automated and manual user communication was also built into the application.

SDS has been working with MERAK for a couple of years now, and they have consistently offered excellent service and great turnaround. Resident Notification Platform
The City of Guelph has a mandate to modernize city services and to provide a positive citizen experience. Identifying the need to provide clearer and easier-to-access waste schedules, Open Guelph purchased a hackathon application for the city’s Solid Waste Resources department. A driving requirement in the application design was to reduce the number of citizens who placed their waste on incorrect days. During the product’s design, however, Solid Waste Resources realized that the application did not fully meet their initial requirements.
MERAK partnered with Solid Waste Resources to discuss the hackathon application’s importance, its intended purpose, and the features that were currently missing. We then created and efficiently implemented an updated list of requirements and demonstrated the new solution. Incorporating Solid Waste Resources’ feedback, we finalized the application to its current state.
The waste reminder application now allows Guelph citizens to search for their address, view and print their waste collection schedule, as well as sign up for email, text, and phone call notifications. Citizens can receive automated “waste day” reminders, special events notices, and any changes to their waste schedule. Administrative staff are also able to send and schedule push notifications.

Process Accelerator
ICAS’s existing website allowed them to receive electronic applications, but the actual evaluation of them was a manual process that relied heavily on the experience of a few long-term staff. To meet growing demand, the client needed to streamline their processes allowing them to gather and evaluate all required information from within the system.
ICAS hired MERAK to provide an assessment of their business operations with the objective of defining the requirements for a system that would solve multiple corporate goals:
As a follow up to the assessment, ICAS selected MERAK to develop a user-friendly web-based application, which we implemented in C#. We designed a document workflow that facilitated the quick identification of relevant past assessments, provided a single location to manage all documentation and generate the final assessment report. The system automatically generates reports that are made available via WebDAV to be edited directly using MS Word for individual customization. A SQL Server database retains prior assessment data, allowing precedents to be set and used to process future applications. This provides reliable, consistent results and saves time. We provided documentation for deployment and maintenance of the solution, and supported training via client employees involved in development and design.
Field Service Management
The City of Guelph’s Parks and Recreation Department was looking for a user-friendly web and mobile app to assign, track, and report park maintenance tasks. The department was previously using a time-consuming manual process to coordinate and record tasks completed by park maintenance crews. MERAK sat down with city staff to understand their current challenges, as well as what they were looking for in a potential solution. After taking their feedback, within 48 hours we provided them a prototype to explore.
The completed solution was intuitive and simple: accessible from an iPad stored in a city truck, the Parks and Recreation app now shows crew members the closest park location that requires cutting. A crew can then record whether the park was cut or not (occupied or wet). Administrative staff can also assign crews to specific park locations; view reports on work conducted; and display patterns for specific parks.
As Guelph is a solid proponent of transparency with its citizens as well as open data, it was also important to build in functionality that shares data with CKAN.
Park maintenance staff have since reduced their paperwork by 45 minutes a day and citizens can now see when their parks were last cut.

Custom Public API
WellWiki provides data for over 4.3 million oil and gas wells throughout North America. Its goal is to provide to the public a comprehensive database tracking production and environmental data, news, and history on the estimated 5.8 million wells drilled in North America. Regulation for oil and gas development is managed primarily by the state or province. The challenge for WellWiki is that the well data are produced and stored individually by jurisdiction, containing their own reporting standards and data formats.
The current system was hosted on premises on University infrastructure. MERAK created a RESTful API service to allow interested parties to query and consume Well data to use for their own purposes. Our project is meant to create a starting point for the API which can eventually expand to serve the rest of the data and meet the needs of its end users. All services are hosted in Azure to make use of fast and easy API development and deployment, as well as taking advantage of the included security features to allow us to focus our time spent on solving their needs.

To help ensure Habitat for Humanity Guelph Wellington (HabitatGW) meet its goals, a variety of metrics are tracked across many parts of the organization. HabitatGW is required to report to various key stakeholders: Board of Directors, Canadian Mortgage and Housing Corporation (CMHC), Habitat for Humanity Canada, and corporate sponsors and partners. Having quick and easy access to this data ensures effective service to our customers, volunteers, partner families, and staff. HabitatGW’s problem was as an organization governed by a Board of Directors, reporting into Habitat Canada, and CMHC, it is required to report various metrics to many different stakeholders.
The data previously came from multiple systems (Point-of-Sale, Dispatch, old CRM database), Excel trackers and paper records. The data was compiled into reports/newsletters/spreadsheets and disseminated to HabitatGW’s stakeholders. The compilation of this data was a manual process that led to errors which took time and resources away from ensuring HabitatGW affordable housing initiatives are as successful as possible.
MERAK Systems Corporation created a Power BI report that connected all systems within HabitatGW’s environment so that HabitatGW staff could have centralized visibility on their operations. The report has automated or dramatically reduced the amount of time required by HabitatGW staff to meet their reporting requirements and now serves as a foundation for building a data culture within organization.
